Welcome to the forum. Great to hear the Conway Beach Tourist Park is interested in holding a Vintage Caravan event. Sounds like a great idea to me.
I've moved your post to a new thread in the 'Runs & Events' section, so that hopefully it will lead to some interest. Hope that's OK?
There's a couple of ways to arrange an event. One is to work with a couple of vintage vanners that would like to help you organize an event. There is quite an active South East Queensland/Northern NSW vintage caravan group, that may be interested in traveling a bit further north.
The other way is for you to simply choose a date and invite everyone to come. If you have a look at the event in this section for Old Dadswell Town, that's what they've done.
Either way, you're very welcome to use the forum to let people know the event is on and publicise it.
What time of the year would be the best time for a vintage caravan event at Conway Beach?
Anyway, let's see whether people express interest in a visit to your part of the world, which - judging by the photos on your website (one of which I've borrowed below) - looks to be just beautiful.
This event will begin on Friday 5th May 2017. Spectators will come through on the Saturday.
Normal sites fees apply but caravanners may want to take advantage of a special deal we have ( stay a week for $200 or 2 weeks for $300 ) and explore the beautiful Whitsundays.
We will detail all fees and inclusions soon. We do have a large undercover dining area so a complimentary BBQ for caravanners will certainly be included as well as a pizza night and breakfast.
We have held a Cars at Conway event for the last 8 years and we are looking forward to this exciting new event, the first to be held in this region.

I've been thinking of you the last few days with Cyclone Debbie traveling through your area. Looking at the path of the cyclone in relation where you are located, I am presuming that the storm will have had a significant impact on the park. However, I am trusting that everyone is safe?

Just a reminder about the Vintage & Retro caravans event coming up at Conway Beach in a week or so. Great to see that the recent cyclone in the Whitsundays hasn't stopped the weekend going ahead, and now is probably a great time to support businesses in the area.

This reply is a bit late as photobucket has been giving us grief for awhile. Here's a link to some of our pics of this great event on flickr. Had to wait for our computer savvy grand daughter to show how to transfer from flickr.
Thanks to George and Debbie for their hospitality shown to our group. We hope to make it to the next one in 2019.
